What we collect

When you send an enquiry

Our enquiry forms ask for your name, email address, phone number (optional), the service you are interested in and a message about your project. We also record which page the form was sent from.

When you apply for a job

If you email us your CV and covering letter, we receive whatever you choose to include, usually your contact details, work history and qualifications.

When you use the website

Google Analytics records how the site is used: pages viewed, roughly where in the world visits come from, the device and browser, and how visitors arrived. It uses cookies to tell one visit from another. It does not tell us who you are. See our cookie policy for the details.

When you contact us directly

If you phone or email us, we keep the details you give us so we can reply and, if you go ahead, deliver your project.

03

How we use it and why

  • To reply to your enquiry and prepare a proposal. Lawful basis: steps taken at your request before entering into a contract.
  • To deliver, support and maintain your system if you become a client. Lawful basis: performance of a contract.
  • To consider your job application. Lawful basis: steps taken at your request before entering into a contract of employment.
  • To understand how the website is used and improve it, using Google Analytics. Lawful basis: our legitimate interests in running a useful website. You can switch analytics off at any time in Cookie settings.
  • To keep records we are required to keep, such as invoices. Lawful basis: legal obligation.

We do not use your information for advertising, we do not sell it, and we do not send marketing emails unless you have asked us to.

04

Who we share it with

We use a small number of trusted services to run the website and handle enquiries. They only process your information on our instructions.

  • Zapier passes enquiry form submissions to our email inbox.
  • Our email provider stores the enquiries, emails and CVs we receive.
  • Google Analytics (Google Ireland Limited) measures website use. Google signals and data sharing with Google are switched off.
  • Google Fonts serves the typefaces on this site, which means your browser connects to Google and shares your IP address when a page loads.
  • Google Maps is only loaded if you press Load map on the contact page.

Some of these providers are based in, or use servers in, the United States. Where information leaves the UK, it is protected by the UK International Data Transfer Agreement, the UK Extension to the EU-US Data Privacy Framework or equivalent safeguards.

We may also share information with trusted installation partners or suppliers where that is needed to deliver your project, or where the law requires it.

05

How long we keep it

  • Enquiries that do not go ahead: up to 2 years from our last contact, then deleted.
  • Client records: for as long as we support your system, then 6 years for accounting and legal purposes.
  • Job applications: up to 6 months after the role is filled, unless you agree to us keeping them longer.
  • Google Analytics data: 2 months, then deleted automatically by Google.
06

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the information we hold about you
  • correct anything that is wrong or incomplete
  • delete your information
  • restrict or object to how we use it, including our use of analytics
  • send your information to you or another organisation in a portable format

To make a request, email info@echo-i.uk. We will reply within one month. There is no charge.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

07

Keeping it safe

The website is served over an encrypted connection, the enquiry form includes spam protection, and access to enquiries and client records is limited to the people at ECHO Integration who need it.

08

Changes to this policy

We will update this page if the way we use personal information changes. The date at the top shows when it was last revised.
